Vacancy: Coordinator, Innovations

ISEAL is offering an exciting opportunity for a proactive and well-organised individual to support the ISEAL Innovations Fund and its Membership & Services team.  The successful candidate will provide thoughtful administrative, logistics, and communications support, and will gain valuable exposure to ISEAL members’ work and ISEAL’s approach to catalysing global efforts to advance on critical social and economic sustainability issues. If you are looking to apply your existing coordination and administration skills to work with sustainability systems, this role will provide you with some excellent insights and networks that will benefit your progress. 

The Coordinator will have a key role in the administration of grants provided through ISEAL´s Innovations Fund, supporting the grant making processes and the review of grantee project progress and learning. The Innovations Fund is ISEAL’s grant-making facility for collaborative projects to enhance the efficiency and effectiveness of sustainability systems.

The role will also provide support to the Membership & Services team and will include contact with many prospective and existing ISEAL Community Members and partner organisations, making this an excellent opportunity to learn about a wide range of sustainability initiatives.

To be considered for this role, you will be highly organised with great attention to detail and a committed approach to serving customers or stakeholders. With an ability to work efficiently and independently and the initiative to take things forward within an agreed scope, you have a friendly and professional demeanour and are comfortable in your communications and interactions with colleagues and external stakeholders. You enjoy working on a varied and changing set of tasks needed to support the implementation of a project or a collaborative group process.  You are comfortable working on multiple projects and activities at the same time, using or developing systems to prioritise tasks.  You will have gained a good level of work experience already in roles focused on project administration and communication with customers or stakeholders, ideally in a non-governmental or membership organisation.

The key responsibilities we entrust you with

Innovation Fund administration (60%)

  • Provide administrative support for day-to-day operations of the Innovations Fund
  • Schedule regular meetings with grantees and take notes during calls
  • Coordinate project meeting logistics, agenda preparation, and audio recording; take notes and track and implement follow up actions
  • Monitor grantee compliance with reporting requirements and communication guidelines, reporting issues to the fund manager and taking appropriate follow up action
  • Contribute to monitoring and learning activities, and keep records on appropriate systems
  • Support organisation of community events and keep up to date contact and events participant records in relevant systems
  • Carry out analysis of grant project data and progress
  • Support production of communication products (e.g. project summaries, etc)

Membership & Services (40%)

  • Help with the effective record-keeping of ISEAL’s customer relationships on Salesforce and other CRM systems
  • Track relevant information and actions to support effective account management
  • Assist in prioritising and responding to incoming support requests, forwarding to relevant colleagues as appropriate
  • Schedule calls and meetings and support follow up actions
  • Take notes during prospect calls and support administrative next steps, including preparing service agreements on contract management system
  • Support preparations for ISEAL training courses
  • Provide assistance to deliver ISEAL’s tailored services processes
  • Participate in periodic analysis of customer base and service offering

 

Experience, Knowledge and Attributes

  • Undergraduate/postgraduate degree in relevant subject (e.g. sustainability, international development/ relations/policy, geography, environmental or social policy, etc.) or equivalent work experience
  • Experience working in international NGO/membership organisation in a support role
  • Understanding of what standards systems are and how they work to help deliver change on sustainability issues
  • Strong administrative and organisational skills, and experience with project administration, meeting/event organisation, logistics, etc.
  • Some experience in a role focused on customer service/communications or user experience and genuine interest in providing exceptional customer service
  • Confidence in communications with colleagues, customers and external partners, displaying professionalism & right level of tact and awareness of others
  • Good time management and ability to efficiently organise and deliver multiple tasks simultaneously
  • Able to work independently, including in a remote work environment, and to ask for clarification/direction when needed
  • Collegial and able to thrive in a dynamic work environment while supporting multiple colleagues
  • Excellent written and spoken English
  • Confidence in using IT systems, familiarity with virtual meeting tools (e.g. MS Teams, Zoom, etc), use of contact management databases (e.g. Salesforce) and proficiency in MS Office
  • Desire to contribute to a more sustainable world

Additionally desirable

  • Comfortable in providing support in public speaking situations (e.g. webinars, workshops etc)
  • Education or interest in working with data analysis and reporting

We offer 25 days of annual leave, to which we will add a day a year after 2 years (to a maximum of 30 days), as well as an extra five days as a one off once you have been with us for a full five years.

Other relevant information

Term: This is an initial contract of one year with the possibility of extension

Salary: £29,200-£34,200 p.a. depending on experience (full time, 37.5 hours per week)

Location: London is the preferred location. Applicants will need to provide evidence that they are entitled to work in the UK. An ability and willingness to work in a hybrid work environment is required.

International travel: The post holder may be required to undertake occasional international travel
